Sort Data in Charts

To get a better insight into your data, you may wish to sort it in your chart. This can easily be done using the options within the Chart tool. 


Lets manipulate a chart that we created in the Chart tool. Note that the data isn't sorted.

1. Select the chart(s) you want to sort.


2. Click Options.

Look for the Sorting category where you will see a menu of options ... 


Sort chart: Toggle sorting on and off.


Direction: The direction of the sorting to be performed, descending or ascending. The default is descending. 

Turning Sort "on" and leaving the other settings as they are will produce the following:

Exclude: To remove a number rows or values from the bottom (end) of the sorting process.


  • Specify the number of rows that shall be excluded from sorting. Normally this will apply to categories like ‘don’t know’ and ‘other’. If you specify a Sort maximum the excluded rows will be shown along with the number specified in Sort maximum.
  • For our example we will exclude the "No, none of them" category from sorting by setting Exclude to 1.


Sort maximum:

  • Specify the number of rows that shall be shown in the chart. A typical use is in “Show the TOP # brands" types of questions.
  • For our example, let's just show the top five issues reported by setting Sort maximum to 5.
  • If you wish to remove categories in the middle of your rows rather than from the ends you will need to use a filter or custom question.
  • If there is a series, e.g. 4 months showing, the sorting will always sort according to the first series value i.e. first month

End result


Once your selections are made for your sorted chart remember to click Set options to apply them to the chart.

Our example now shows Sorting descending, top 5 issues, and the No, none of them category is left at the end of the chart.
